The automation of the appointments process brings many benefits to your practice. The ability to define whose appointments can be entered into the practice diary means you can include your staff as well as patients, making it easier to see who is doing what at any particular time.&lt;br /&gt;
&lt;br /&gt;
Automation of the process also eliminates basic errors, such as bookings made for the wrong patients on the wrong day or even double bookings. As part of the system, the Optisoft Appointments module will also take care of essential routine tasks that would otherwise take up valuable staff time. Appointment cards can be printed automatically, for example, providing patients with an immediate record of their next visit. As the appointment grows closer, the module can be set to automatically issue reminders to patients via SMS, E-mail or Letter. &lt;br /&gt;
&lt;br /&gt;
The likelihood of missed, late or forgotten appointments can be significantly reduced by making sure that patients are kept aware of their next appointment date and time.&lt;br /&gt;
&lt;br /&gt;
The Optisoft Appointments module can improve practice performance in other ways too. The Patients Recall module has been designed to compile and print recall letters based on set time frames entered by the user.&lt;br /&gt;
&lt;br /&gt;
The user creates a number of letter templates, into which the patient information is merged. These letter templates are assigned to Recall Categories which define which letter is sent and when that letter is to be sent.&lt;br /&gt;
&lt;br /&gt;
The patient is then assigned a recall category and a Start Date, this date is used in the calculation of which letter the patient is due to receive.&lt;br /&gt;
&lt;br /&gt;
The Recall Graph provides a graphical representation of how many patients are due to be recalled in a given month.&lt;br /&gt;
&lt;br /&gt;
The graph is not linked to today’s date, so if, for example, you complete a month’s letters within the first week of the month the graph then moves on to show the next month.&lt;br /&gt;

It is designed to keep a list of the patients that the user is currently working with, enabling you to quickly switch between patients rather than having to search for the patient every time you wish to perform an action.&lt;br /&gt;

===Using Active Patients===&lt;br /&gt;
&lt;br /&gt;
The name of the current Active Patient is displayed in the top right of Optisoft Enterprise. This is the patient you are currently working with and so will be automatically selected when you enter a module.&lt;br /&gt;
&lt;br /&gt;
There is a dropdown arrow alongside the active patient’s name. Clicking on this will show the list of other patients within the active list, if there are any, and also the options to have No Active Patient or Clear Active Patients, which will blank the list completely.&lt;br /&gt;
&lt;br /&gt;
To select another patient from this list and make them the active patient you would simply click once on their name.&lt;br /&gt;
&lt;br /&gt;
Next to the dropdown arrow there is a red cross, this is used to ‘close’ the currently active patient and remove them from the Active Patients list.&lt;br /&gt;
&lt;br /&gt;

To send a patient to OptomNotes you need to make sure that the patient is currently selected as the active patient. &lt;br /&gt;
You would then click on the Send to OptomNotes button on the toolbar in the Patient module. &lt;br /&gt;
This opens a window allowing you to select the optometrist to pass the patient to.&lt;br /&gt;

===Information from OptomNotes===&lt;br /&gt;

When the optometrist has completed their examination, OptomNotes will send the patient’s updated prescription and recall information back to Optisoft Enterprise. &lt;br /&gt;
&lt;br /&gt;
The patient’s record in Optisoft Enterprise will be updated automatically with these new details.&lt;br /&gt;
&lt;br /&gt;
=Setting Up Patients=&lt;br /&gt;
&lt;br /&gt;
Some of the details that you will be using in the Patient Records module require some setting up beforehand.&lt;br /&gt;
&lt;br /&gt;
They will also require maintenance during the system’s life, for example optometrist’s details may change as the practice grows.&lt;br /&gt;

There is a dropdown arrow alongside the active patient’s name. Clicking on this will show the list of other patients within the active list, if there are any, and also the options to have No Active Patient or Clear Active Patients, which will blank the list completely.&lt;br /&gt;

To select another patient from this list and make them the active patient you would simply click once on their name.&lt;br /&gt;

To send a patient to OptomNotes you need to make sure that the patient is currently selected as the active patient. &lt;br /&gt;
You would then click on the Send to OptomNotes button on the toolbar in the Patient module. &lt;br /&gt;
This opens a window allowing you to select the optometrist to pass the patient to.&lt;br /&gt;

When the optometrist has completed their examination, OptomNotes will send the patient’s updated prescription and recall information back to Optisoft Enterprise. &lt;br /&gt;

The patient’s record in Optisoft Enterprise will be updated automatically with these new details.&lt;br /&gt;
&lt;br /&gt;

The Patients screen is used to manage all information that directly relates to your patients.&lt;br /&gt;

It is designed to keep a list of the patients that the user is currently working with, enabling you to quickly switch between patients rather than having to search for the patient every time you wish to perform an action.&lt;br /&gt;

===Using Active Patients===&lt;br /&gt;
&lt;br /&gt;
The name of the current Active Patient is displayed in the top right of Optisoft Enterprise. This is the patient you are currently working with and so will be automatically selected when you enter a module.&lt;br /&gt;
&lt;br /&gt;
There is a dropdown arrow alongside the active patient’s name. Clicking on this will show the list of other patients within the active list, if there are any, and also the options to have No Active Patient or Clear Active Patients, which will blank the list completely.&lt;br /&gt;
&lt;br /&gt;
To select another patient from this list and make them the active patient you would simply click once on their name.&lt;br /&gt;
&lt;br /&gt;
Next to the dropdown arrow there is a red cross, this is used to ‘close’ the currently active patient and remove them from the Active Patients list.&lt;br /&gt;
&lt;br /&gt;

Spectacles Dispensing allows the operator to quickly and easily dispense spectacles for a patient.&lt;br /&gt;
&lt;br /&gt;
The module takes the form of a wizard which will guide the user through the process from entering the prescription, choosing a frame, selecting a suitable lens and finally adding examination fees and accessories.&lt;br /&gt;
&lt;br /&gt;
Spectacles Dispensing in Enterprise also allows the user either to track the completed dispense through the ordering process or, with the addition of the Central Ordering Client, actually order the spectacles directly from the Optisoft Enterprise software.&lt;br /&gt;
